It is time for us to plan our Annual Meeting.  This is a requirement for both the District and Rotary International.  It provides us a unique opportunity to discuss the foundation and the management of our District and an opportunity for everyone to play a part.

The Annual Meeting will be held, via Zoom, on Saturday, May 30th and begins at 9AM.  We have reserved a three-hour window for the meeting.  I am hopeful we will conduct our business well before time runs out, however, this format is new for us and no one can predict how easily a discussion will go. 

All the documents we ask you to review prior to the meeting are at on the district website at this link: Annual Meeting Documents.  Each Saturday, starting on May 9th, during the weekly wrap-up, President’s and President’s Elect will have an opportunity to review a segment of the agenda.  We are hopeful this will provide the beginning of an open discussion. 

Although all Rotary members in good standing may attend, voting delegates to the meeting need to be pre-assigned by each club.  All member clubs have a minimum of one delegate, others will have two or more.  A delegate cannot vote if not on the call.  Please review your club delegate eligibility: Member Club Voting Eligibility - Delegate Count.   A full description of voting rights are below. 

In addition to the business of the District, this meeting will provide an opportunity for us to recognize the outstanding leaders and members that have emerged this year.  President of the Year, Rotarian of the Year, Club of the Year and many other awards will be presented first thing.  While we have been denied an in-person celebration of the year’s events, we’re not going to let that stop us from acknowledging our Rotary stars!

In the days ahead a final agenda will be provided.  For now, please take some time to review the documents online, as they represent all areas for resolutions/voting, and feel free to reach out to me or the office with any questions.

THANK YOU for all you have done or are doing to serve our communities and the greater world.  Never has it been more important to show Rotary as a leader.  I am so proud to be part of this amazing District and organization.

Voting Delegates and Members in Good Standing

Each Member Club shall select, certify, and send to the Annual Meeting at least one delegate. Any Member Club with a membership of more than 25 shall be entitled to one additional delegate for each additional 25, or major fraction thereof, of its members. Such membership shall be determined by the number of members in the club as of the date of the most recent semi-annual payment which proceeds the date on which the vote is to be held. ...  A delegate must be present at  the Annual Meeting to vote.

Items that only delegates can vote on include: (1) the election of the District Governor-Nominee; (2) the election of a member of the nominating committee for RI Director-nominee; (3) the composition and terms of reference of the nominating committee for District Governor-Nominee; (4) the election of the District’s Representative and Alternate Representative to the Council on Legislation; and (5) the decision as to the amount of the District dues, if presented.  For the election of the District Governor-Nominee, all votes from a Member Club with more than one vote shall be cast for the same candidate.  

Members in Good Standing. Every member of a club who is present and in good standing, whether or not a delegate, shall be entitled to vote on all other matters submitted to a vote at such Annual Meeting. However, any delegate shall have the right to demand a poll upon any matter presented to the Annual Meeting. In such cases, voting shall be restricted to delegates.
